How to Use the Quote Generator

๐Ÿ“ Accessing the Quote Generator

  1. Go to the Header Menu.

  2. Hover over the Documents dropdown.

  3. Click on Quote Generator.

  4. You will be redirected to the "Start Creating Your Quote" page.


๐Ÿงญ Steps & Requirements

โš™๏ธ 1. Settings Panel (Right Side)

Use the settings panel to customize your quote before creation:

  • Save Quote Button

    • When ON (default): The quote will be saved in the Quote History.

    • When OFF: The quote will not be saved.

  • Show Bank Details

    • When ON: Input fields for bank details (Bank Name, Account Number, etc.) will be shown.

  • Show UPI ID

    • When ON: You can enter your UPI ID, and a QR code will be automatically generated.

  • Show Signature

    • When ON: You can upload a signature image or write a digital signature.

  • Select Currency

    • Choose the currency for the quote. The default is set in your system settings.

  • Select Client (Bill To)

    • Choose from your saved client list. Selected details will auto-fill in the Bill To section.

  • Select From (Your Business)

    • Choose from your saved business profiles. This fills in the From section automatically.

  • Choose Primary Color

    • Pick a custom color to apply to your quote template using the color selector.


๐Ÿ“ 2. Quote Information Fields

๐Ÿ“„ Quote Heading

  • Enter a name for the quote. This field is required.

๐Ÿ–ผ๏ธ Logo Upload

  • Optional: Upload your company logo. Recommended size: 300 x 300 pixels.

๐Ÿงพ From (Your Business Info)

  • Must include your business name. (Required)

๐Ÿ‘ฅ Bill To (Client Info)

  • Must include the clientโ€™s name. (Required)

๐Ÿ”ข Quote Details

  • Includes:

    • Document Number (auto-generated or custom)

    • Create Date

    • Valid Till Date

๐Ÿ“‹ Item/Service Table

  • Each row should include:

    • Item/Service Name

    • Quantity

    • Rate

    • Amount All fields are required. The table supports:

    • Adding/removing rows

    • Auto-calculating totals

๐Ÿงฎ Totals & Adjustments

  • Subtotal is automatically calculated.

  • Optional additions:

    • Discount (percentage or fixed)

    • Tax (percentage or fixed)

    • Shipping (percentage or fixed)

๐Ÿ—’๏ธ Notes & Terms (Optional)

  • Add additional information or terms related to your business.

๐Ÿฆ Bank Details (If enabled)

  • Input fields for bank-related information.

๐Ÿ’ณ UPI Information (If enabled)

  • Enter your UPI ID; a QR code will be generated.

โœ๏ธ Signature (If enabled)

  • Upload a signature image or type a signature.

  • Important: Click the "Save Signature" button to save it.


๐Ÿ’พ 3. Saving and Downloading the Quote

โœ… Required Fields Before Saving:

  • Quote Heading

  • From (Business Name)

  • Bill To (Client Name)

  • All fields in the item/service table

๐Ÿ“ฅ Download PDF:

  1. Download PDF Button:

    • If Save Quote is ON โ†’ The quote is saved and downloaded automatically using your chosen template.

  2. Choose Template & Design:

    • Click the Choose Template button.

    • A modal with over 20 designs will appear.

    • Select a template and click Choose Template & Download to save and download the PDF.

After saving/downloading, youโ€™ll be redirected to the Quote History page.


๐Ÿ“š 4. Quote History Page

๐Ÿ“ Accessing History:

  • Go to the Header Menu.

  • Under the History dropdown, click Quote Generator History.

๐Ÿ“„ Features:

  • Displays all previously saved quotes.

  • Option to Export the quote list to a CSV file.

  • Option to Clear All History for cleanup.

๐Ÿ”ง Actions Available per Document:

  • Edit โ€“ Update quote details.

  • Delete โ€“ Remove the quote permanently.

  • Download โ€“ Re-download the PDF document.


โœ… Final Notes

  • Always check that all required fields are filled before saving or downloading.

  • Make use of the settings panel to personalize your quotes.

  • Save your signature once and reuse it in future documents.
